Manage customization files

Choose when Custom Products removes artwork and protect files you still need.

Open Apps > Custom Products and choose Settings. File-retention controls are inside the app, alongside its other settings. These settings affect files held by Custom Products; other apps provide their own file controls.

Choose when the retention period begins

Choose full delivery or full shipment, then enter the number of days to keep completed-order files. The default is 30 days after full delivery. All quantities of that order item must reach the chosen event. Delivering one of three hoodies does not start the full-delivery period. A later delivery reversal makes the item incomplete again.

Choose separate periods for cancelled orders and orders that never complete. The defaults are 30 days after cancellation and 365 days after the order was created for incomplete orders. Each period accepts 1 to 3,650 days. Saving these settings applies them to new order files. Existing files keep their saved policy and deadlines. To keep an existing file longer, open it in Custom Products → Orders and extend its deadline or place a hold.

Protect or extend an order’s files

Open Custom Products → Orders to search by order number, order ID or artifact ID. Filter by file status or linked date (UTC), and sort by linked date, order number or number of customized items. Open an order to see each item’s ordered, shipped and delivered quantities, retention reason, scheduled date, holds and deletion status. Extend the period or place a hold for 1 to 3,650 days while files are still available. Release a hold you added when the files are no longer needed. A separate hold from a return or fulfillment process stays until that process releases it.

A deadline makes files eligible for removal. Removal waits while another active cart, wishlist or order still needs the same artwork, or while a hold protects it. Cleanup checks every five minutes and retries failed removals; the displayed Deleted date confirms completion. Once deletion has started, files cannot be extended or restored.

Carts, wishlists and uninstalling

Cart and wishlist artwork has an expiry that can be renewed while it remains in use. Removing an item does not immediately remove shared artwork. The app checks whether another cart, wishlist or order still uses it before removing it.

Choose how many days to retain files after uninstalling, from 1 to 3,650; the default is 30. After that deadline, the app removes its files even if an old order or hold would otherwise keep them. Download files you need before uninstalling. Reinstalling before removal can preserve remaining files; it cannot restore files already deleted.

What remains after removal

Original uploads, previews, thumbnails, production files and generated supporting files are removed together. Uploaded filenames and personalization text are cleared from the app’s deleted-file records. The order remains, including its saved personalization text and other order details. Minimal file identifiers and deletion records remain to prevent a repeated update from restoring deleted artwork. Order pages and emails can show an unavailable-file placeholder after removal.

Product settings and saved designs

New designs keep the template and product settings they started with. Changing a product’s customization settings applies to new designs. Once a design is finalized for the cart, start a new design to change its artwork or options.

If saving product configuration reports an incomplete setup, reopen its Setup incomplete entry in Custom Products, review the settings, and save again. The product’s customization requirement stays in place while you finish setup.

Previously generated files remain subject to your retention settings. If an older design has no saved configuration, the app keeps its existing production files rather than recreating them with a different product configuration.
