Online payments
Opening checkout doesn't hold stock. When a shopper places an order and submits an online payment, its units become Checkout held. A successful or accepted pending payment turns them into Committed stock. A failed or cancelled payment, or a hold that runs out of time, releases the units so they can be sold again.
Set Online checkout hold duration in Settings > Order Settings > Inventory & Limits, from 5 to 120 minutes. Tringify adds a fixed 10-minute grace period, so a hold lasts the duration you set plus 10 minutes. If the hold runs out on an order paid partly with a gift card or store credit, the order is cancelled and that amount is returned.
If a payment completes after its hold was released because the payment failed or ran out of time, Tringify tries to hold the same units again, at the same locations, when the payment is captured. If they are no longer available there, or a location no longer fulfills online orders, the payment is refunded. A payment that completes after you cancelled the order is always refunded. Review the order and payment status when checking a late payment.
When a shopper retries a payment, the units are held again at the same locations. If they are no longer available, the retry fails. If the checkout has expired, the shopper is sent back to checkout to place the order again.
Orders that commit stock at once
Cash on delivery orders, orders paid in full with a gift card or store credit, and orders created by staff, apps, POS, or the Store API commit stock as soon as they are placed. An order paid partly with a gift card or store credit and partly online stays Checkout held until the online payment completes. Committed stock stays committed until it is fulfilled or released.
Imported orders, custom items, and items that don't track inventory never hold stock. Switching an item to tracked inventory later doesn't affect orders placed before.
Which location holds the stock
Stock is held only at active locations that fulfill online orders. Tringify follows the order's shipping route and your location priority: the location at the top of Inventory > Locations is used first. With the Minimize Shipments routing strategy, a location that can supply the whole order is preferred. If no single location has enough, one item can be held across several locations, unless your split shipment setting requires one location.
Fulfillment
Fulfilling an order lowers On hand and Committed together at the shipping location, so Available doesn't change. Checkout held stock can't be fulfilled until the payment completes. Items that don't require shipping, such as digital goods or tickets, are sold as soon as their stock is committed: On hand and Committed drop straight away.
Cancelling a pending or failed fulfillment puts its units back on hand and commits them to the order again. If the order itself has been cancelled, the units only go back on hand. A fulfillment whose items a refund counted as shipped can't be cancelled.
Order edits, refunds, and cancellations
Editing an order holds stock for added items and higher quantities, and releases it for removed items and lower quantities. Added units follow the order: Checkout held while its online payment is pending, otherwise Committed. Cancelling an order releases everything it still holds.
A refund always releases refunded units that haven't shipped, whether or not Restock items is selected. Restock items decides only whether shipped units go back on hand. They return to the location they shipped from if it is still active and stocks the item, otherwise to the highest-priority active location that stocks it. If no active location stocks the item, the refund isn't saved: clear Restock items or add the item to a location. An item that didn't track inventory when it was ordered is never restocked.
Review a held quantity
Open Inventory > Product Stock and choose Current commitments, or open the group's Commitments tab. Current commitments lists the orders holding stock right now, with location, quantity, state, and expiry for checkout holds; its rows add up to Checkout held plus Committed. Commitment history shows every hold, commitment, release, and fulfillment over time. Open the linked order when you have permission to view orders.
Changes blocked while stock is held
While orders hold stock at a location, it can't be deactivated, archived, or deleted, and it can't stop fulfilling online orders. While orders hold a product's stock, the product can't be deleted. Fulfill or cancel those orders first.
Tringify regularly checks that held stock matches open orders and corrects it, so stock held by a cancelled order is released automatically.
