Set up transactional emails

Choose templates, control sending, and check delivery from one starting point.

Open Marketing > Transactional Emails. The Emails tab lists each message and its assigned template. Search by email name to find the message you want to change. Template choices save automatically; if saving fails, the previous choice stays selected.

Choose, create, and test a template

Choose an existing template, or select Create and use template. Creating from an email assigns the new template to that email and returns you to its place in the list. If assignment fails after creation, the template is kept: choose it from the list to finish. Edit and test opens the assigned template so you can update its design, subject, and inbox preview text. Send a test only to an address you control.

In the mobile app, choose and assign templates from the Emails tab. The design and test actions open Store Admin in your browser. Return to the app and reopen the page to load your changes.

Newsletter confirmations

Enabling newsletter double opt-in in Customers > Settings > Marketing creates and assigns an editable confirmation template if needed. Keep its confirmation button and active status. You can replace it with another confirmation template. See Newsletter double opt-in.

Check the sender and sending controls

Sender and delivery history opens Email settings. Set a verified default transactional sender and check your available email allowance. Template assigned means that the email has a chosen template; it does not confirm that a message was sent or delivered.

Use Order notification controls for order-event emails. Back-in-stock email has its own Send this email switch. Other account and access emails are sent when their customer action occurs. For customers you add yourself, Send welcome email on the customer form or the Import CSV chooses whether to request a welcome message. Creating or editing a template never sends customer emails by itself.

Order confirmations for connected apps

A connected app chooses whether to request an order confirmation by email, message, both, or neither. Creating an order through an integration does not request either by default. Your Order notification controls still apply: an app cannot override a disabled control. This choice affects the initial order confirmation only.

Open the order journey to review whether confirmation was requested, not requested, queued, suppressed, or failed. Sent means the sending provider accepted the message; it is not proof that the customer received or read it. Check delivery history for delivery results when available.

Cash-on-delivery and ordinary manually created orders can send confirmation at placement. Online-payment and payment-link orders wait until fully paid. A saved choice not to send remains in effect after payment. Historical imports and test orders do not send confirmations. Storefront checkout and the order creation form continue to follow your existing notification settings.

Refund and cancellation emails

Order notification controls has separate choices for Payment refunded, Payment partially refunded, Order cancelled, Order cancelled and refunded, and Order cancelled and partially refunded. You can enable or disable email and message separately for each. Existing refund and cancellation choices carry over to their new variants; new stores start with these notifications off. Each new email has an assigned template you can see and edit in Transactional Emails.

A partial refund returns part of the payment collected. Payment refunded applies when all collected payments have been returned, even if the order was only partially paid. Each successful refund can send one refund notification. Pending or failed payment-provider refunds do not send a completed-refund email.

Cancelling an order does not refund money. Cancellation sends at most one cancellation email, chosen from the completed refund total at cancellation: no refund, partially refunded, or refunded. If a refund completes later, its refund notification can send separately. Test orders and historical imports do not send these notifications.

Refund emails show the amount of that refund and the cumulative amount returned, in the order currency. Currency decimal places are preserved, including zero-decimal and three-decimal currencies. These customer emails do not use Settings > General display preferences. Order emails use the order’s language (the store’s default language for older orders) for separators, grouping, symbol placement, and text direction; money is isolated to keep its symbol and digits together in right-to-left text.

Review a delivery problem

Open Sender and delivery history and review the recipient, sending time, and result. Check the relevant notification control, assigned template, sender verification, and email allowance. A queued or sent message is not the same as a delivered message. Customer verification and marketing consent remain separate from sending a transactional email.
