Choose a source and destination, add products, variants, or inventory groups, and enter whole-number quantities. Each transfer has a TRF number. Use its optional reference for a shipment or warehouse reference.
Pending, in transit, and completed
A Pending transfer does not hold stock. Mark it In transit when it leaves the source. The source quantity becomes held and unavailable for sale; the recorded on-hand count stays unchanged until units are received.
Receive a transfer
Open an in-transit transfer and choose Receive. For each item, enter the units that arrived in good condition as Received, units that never left the source as Short, and units that arrived damaged as Damaged. Enter only what has arrived so far; you can record more receipts later until every unit is accounted for.
Received units are subtracted from the source and added to the destination. Short units stay at the source: their hold is released, so they can be sold there again. Damaged units are subtracted from the source and written off; they are not added to the destination. Stock history shows each change.
Until every unit is accounted for, the transfer shows as Partially received. The receipt that accounts for the last unit completes it. Receipt history lists each receipt, its quantities, and who recorded it. Complete receives every remaining unit as Received in one step.
Cancel an in-transit transfer only when the rest of the shipment returns without being received. Cancelling releases the hold on units not yet received; units already received, short, or damaged stay as recorded.
Only Pending transfers can be deleted. Complete or cancel active transfers before deleting an item or changing its inventory source. Other stock and linked-item restrictions can still apply. Completed transfers keep the original titles and SKUs of items later deleted.
Bulk actions and interrupted changes
Select transfers to ship, complete, cancel, or delete together. If one cannot accept the action, resolve the reported problem before retrying. After an interrupted change, reopen the transfer to check its status first. Retrying an interrupted receipt from the same screen is safe; it is not recorded twice.
App-managed locations
You can view an app-managed location, but its owning app controls stock and transfers there. Use that app to make changes. CSV imports and bulk edits also leave app-managed stock under the app's control.
